Pezley Portal Privacy Policy
Effective October 11, 2026
Pezley Portal LLC (“Pezley Portal,” “we,” “us”) operates Pezley Portal, a multi-company software platform for painting contractors and similar businesses. This Privacy Policy describes how we collect, use, disclose, and retain personal information when companies and their users use our website, web app, and iOS app.
Roles. When your company uses Pezley Portal, your company typically decides why and how personal information about your crew and end customers is processed in the product. Your company is usually the controller (or “business”) for that information. Pezley Portal acts as a processor (or “service provider”) processing that information on your company’s instructions to provide the service. See our Data Processing Addendum for processor terms. This policy also covers information we process as a controller (for example account billing, security, and product improvement where permitted).
We do not sell personal information and we do not share personal information for cross-context behavioral advertising as those terms are defined under applicable US state privacy laws.
1. Who this policy covers
- Company administrators and users — owners, admins, leads, estimators, crew, and others invited to a company workspace.
- End customers and prospects — homeowners, property managers, and others whose contact details, job information, messages, photos, or signatures your company stores or shares through Pezley Portal (including via customer share links).
- Website visitors — people who browse pezleyportal.com marketing pages, request demos, or use public forms.
2. Information we collect
Account and profile
Names, email addresses, phone numbers, profile photos, roles, company memberships, authentication identifiers, notification tokens, and preferences you set in the app.
Company and job data (Customer Content)
Information your company enters or generates, including customer and crew contact details, job addresses, estimates, proposals, invoices, schedules, time entries, check-in photos, documents, messages, voice recordings, and integration records.
Device, usage, and diagnostics
Device type, operating system, app version, IP address, log data, crash reports, and performance diagnostics (for example via Sentry). With permission, location for features such as clock stamps or nearby jobs; photo metadata may include capture location.
Payments and billing
If you subscribe, payment and billing details are handled by our payment processor (Stripe). We receive limited billing metadata (such as subscription status), not full card numbers.
Communications metadata
When your company uses messaging features, we process message content and delivery metadata as needed to send SMS, email, or push on your instructions.
AI features
Prompts and context you submit to AI features (job details, messages, documents, audio, etc.) are processed to generate responses, summaries, classifications, transcriptions, or speech. Business admins control certain automation and learning settings.
3. How we use information
We use personal information to:
- provide, operate, secure, and troubleshoot the service;
- authenticate users and enforce company permissions;
- process subscriptions and communicate about the service;
- send notifications and messages your company requests;
- detect abuse, fraud, and security incidents;
- comply with law and respond to lawful requests;
- improve the product in accordance with your settings and applicable law.
Company administrators and authorized colleagues can access work information according to their roles. Customer share links expose only the information your company chooses to publish to link recipients.
4. Subprocessors

5. Retention
We retain personal information while your company has an active account or as needed to provide the service, resolve disputes, enforce agreements, and meet legal obligations. Retention periods vary by data type and your company’s use of the product.
Backups may retain deleted data for a limited period before rotation. Anonymized or aggregated data that cannot reasonably identify individuals may be kept longer.
6. Deletion and your choices
Portal users can edit supported profile settings, manage device permissions, and initiate account deletion in Profile → Delete account. Deletion requests are processed within approximately 30 days, with confirmation by email when possible. Deletion covers your user account and associated personal data we control as processor or controller, subject to legal retention requirements and data your company retains in its workspace.

Device permissions for camera, microphone, photos, contacts, location, and notifications can be changed in device settings. Local caches may remain until cleared.

We implement administrative, technical, and organizational measures designed to protect personal information, including access controls, encryption in transit, tenant isolation in the product architecture, and monitoring. No method of transmission or storage is completely secure.
